General Questions
What is TransKL Load Helper?
TransKL Load Helper is a Microsoft Outlook add-in for freight dispatchers and transport companies. It automatically reads load offer emails, calculates route distances and costs, and instantly shows whether a load is profitable without leaving your inbox.
Who is TransKL Load Helper designed for?
It is designed for freight dispatchers, transport company owners, and logistics coordinators who receive load offer emails and need to quickly decide whether to accept or reject a job based on real cost calculations.
Does it work with all versions of Outlook?
TransKL Load Helper works with Microsoft Outlook desktop app and Outlook web (outlook.office.com). A Microsoft 365 account is required.
Getting Started
How do I install TransKL Load Helper?
Open any email in Outlook, click the Get Add-ins button in the toolbar, search for TransKL Load Helper, and click Add. If your organization requires admin approval, contact your IT administrator to approve the add-in from the Microsoft 365 Admin Center.
How do I open the app?
Open any email in Outlook and click the TransKL Load Helper button in the email toolbar. The side panel will open on the right side of the email window.
Why does the side panel close every time I open a new email?
You need to pin the side panel. Click the Pin icon at the top of the panel. After pinning, the panel stays open and automatically updates as you navigate between emails.
Do I need to set anything up before I can use it?
Yes. Before the app can calculate routes you need to add at least one truck with: - A license plate label - GPS coordinates of its current location - A base price per kilometer (EUR/km) - At least one country toll rate All of this is done in the Truck section inside the app.
Trucks & Settings
How do I add a truck?
Click the Truck icon in the app toolbar, then click Add Truck. Enter the truck's license plate number (or any label), fill in the GPS coordinates of its current location, set the status to Available, enter your base EUR/km rate, add at least one country toll rate, and click Update Truck to save.
Does the license plate need to be a real registered number?
No. The license plate field is just a display label to identify the truck inside the app. You can enter any text.
What format do GPS coordinates need to be in?
Coordinates must be entered as two numbers separated by a space, for example: 48.856613 2.352222. Do not use a comma between the numbers as this will cause an error.
Where do I get GPS coordinates for my truck's location?
There are several ways to get the coordinates of your truck's current position: - From your GPS tracking system or fleet management platform (most tracking tools display the vehicle's current coordinates). - From the last known unloading location of the truck (use delivery address coordinates as the truck's starting point until it moves). - Manually from Google Maps (right-click any location and click the coordinates shown at the top of the context menu). Whichever source you use, make sure the two numbers are separated by a space and not a comma when entering them into the app.
What is the difference between Available, Active, and Disabled status?
Available and Active both mean the truck is included in route calculations. Disabled means the truck is excluded from all calculations. Use Disabled when a truck is in service or repair and you do not want the app suggesting it for loads. You can switch back to Available at any time.
Can I add multiple trucks?
Yes. TransKL Load Helper supports multiple trucks. The number of trucks you can add depends on your subscription plan. The app always calculates and displays the two closest available trucks for each load, regardless of your total fleet size.
What happens if I forget to click Update Truck?
Any changes you made will not be saved. Always click Update Truck after modifying coordinates, pricing, status, or any other setting.
Can I edit truck data after saving it?
Yes: - Select the truck from the dropdown menu. - Modify coordinates, pricing, country rates, or any other field. - Click Update Truck to save the changes.
What is the Comments field in the truck settings?
The Comments field is an optional free-text field where you can store notes about the truck, for example driver name, trailer type, or maximum load capacity. It is visible only inside truck settings and is not used in route calculations.
Route Calculations & Results
How does the app read the email?
The app automatically scans the full email text and detects postal codes and city names. No manual input is needed.
What does '0 loads' mean?
It means the app could not find recognizable location data in the email. Usually this means no route information is present, or locations are written in an unusual format.
What is the difference between Load km and Empty km?
Load km is the distance from pickup to delivery. Empty km is the distance from the truck's current position to the first pickup point. Both are included in total cost calculation because empty driving is a real operating cost.
How do I see the full cost breakdown?
Hover over the (i) icon next to any truck result in the main panel. A popup shows Load cost, Empty cost, and Total cost separately.
What does the profit or loss figure mean?
If the email contains a client price offer, the app compares it with calculated total cost and shows the difference as profit or loss. If no price is found in the email, this indicator does not appear.
Does the app account for tolls?
Yes. You can configure country-specific EUR/km rates per truck. These are applied automatically when routes pass through those countries. The app also detects toll tunnels and highlights potential extra charges.
Does the app calculate routes through multiple countries?
Yes. The app calculates distance per country and applies each configured country EUR/km rate, so costs reflect real toll and operating expenses across the route.
Map & Route Control
How do I open the route map?
Click the Map icon in the app toolbar. The map shows your truck's position (blue marker), pickup location (green marker), and delivery destination (red marker).
Can I change the route manually?
Yes. Click the blue route line to add an orange control point, then drag it to adjust the route. You can add multiple control points and double-click a control point to remove it. Distances and costs recalculate automatically.
Can I compare different route options?
Yes. The ROUTES section in the map shows alternatives. Click any route option to recalculate distances and costs for that path.
How do I get back to the main results view from the map?
Click the box icon (first icon on the left in the top navigation bar of the side panel) to return to main loads view.
Technical & Support
How do I check which version of the app I am using?
Click the (i) icon in the app toolbar to open Information & Changelog. It lists versions, release dates, and update summaries.
How do I report a bug or problem?
Click the red speech bubble icon with a question mark in the app toolbar. This opens Report Problem where you can describe what happened, what you expected, and what actually occurred.
The add-in does not appear in Outlook. What should I do?
Try the following: - Restart Outlook completely. - Open any email, click More Apps (...), and select TransKL Load Helper. - Pin the add-in so it stays visible in the toolbar. If the issue persists, contact support using the red speech bubble icon inside the app.
The add-in opens but does not detect locations from the email.
Check the following: - Make sure the email contains clear postal codes or city names as plain text. - Avoid screenshots, the system reads text only and cannot extract locations from images. - Use standard location formats, for example: PL-01-234 Warsaw or FR 59125 Lille. If the issue persists, contact support using the red speech bubble icon inside the app.
Why are no routes or costs shown even though the add-in opens?
Check the following: - Make sure the email contains postal codes or city names. - Make sure at least one truck is added and saved with coordinates and pricing. - Make sure truck status is Available and not Disabled. If the issue continues, use the red speech bubble icon in the app toolbar to contact support.
I made changes to truck settings but calculations did not update. Why?
You may have forgotten to click Update Truck after editing. Always click Update Truck to confirm changes. If the issue continues, close and reopen the side panel.
